Moving Roll-Off Dispatch From a Whiteboard and Spreadsheet to Software

The whiteboard has worked for years. Truck names across the top, jobs in marker underneath, a spreadsheet of who has which can and when it is due back. It works until the person who maintains it is out sick, or the business grows past what one board can hold.

Weather days, from Rain, Mud and Soft Ground: Rescheduling Roll-Off Dispatch Around the Weather, are a good test: if rescheduling a rainy day takes an hour of erasing and calling, it is time to look at software. This guide covers how to switch without disrupting the trucks.

Start With Customers

Your customer list is the foundation. Export it from wherever it lives — a spreadsheet, an old program, your phone — and import it by CSV. Then add job sites for customers who have more than one, especially contractors and property managers.

Do not try to clean up every record before importing. Get the data in, then fix records as you touch them. Each job adds notes and history that make the records better over time.

Pick a quiet week to switch if you can. Trying to learn new software during the busiest stretch of construction season adds stress for everyone. A slower week gives people time to learn without the board overflowing.

Add Trucks, Drivers and Office Staff

Set up each roll-off truck and each employee. Because DumpsterBossPro is never billed per user, there is no reason to share logins or leave drivers out. Every driver should have the driver app before you start.

Decide who will dispatch. In a small company, it may be the owner. In a larger one, it may be one or two office people. Make sure they know the Waiting List and the dispatch board before the first live day.

Set up your common haul-to addresses — the landfills, transfer stations and recyclers you use — early, so they are easy to put on jobs. The same goes for your standard sizes, job types and rental terms. The more of that is in place on day one, the faster intake becomes.

Enter Open Rentals

Cans already on the ground need to be in the new system, with delivery date, days included, daily rate and expected pickup date. Without them, pickups get missed and extra days do not bill.

Go through the whiteboard or spreadsheet one can at a time. It is tedious, but it is also an audit. Many companies find a can or two they had lost track of.

While you are entering open rentals, put the customer site, size, unit number and debris type on each one too. When the pickup request comes in later, everything the driver needs is already there, and the haul-to can be set in seconds.

Run in Parallel for a Short Time

For a few days, keep the whiteboard and the software side by side. Enter every new request on the Waiting List, assign it on the dispatch board and let drivers work from the app. Use the whiteboard as a check, not a source.

Keep the overlap short. A week is usually plenty. The longer both systems run, the more likely someone updates one and forgets the other.

Expect a few bumps. Someone will forget to put a job in the system, or a driver will call instead of checking the app. Treat each one as a chance to reinforce the new habit instead of a sign the switch is not working.

Train Drivers on Five Things

Drivers do not need to know everything. They need to see their jobs in order, tap navigation to the site and haul-to, read placement notes, tap on-the-way and arrival, and complete the job with photos and the scale-ticket weight. Show them those five things on a real job.

Expect questions on the first day. By the end of the first week, most drivers would not go back to a text list.

Show customers the new texts too. When they start getting on-the-way and arrival messages, many will notice and appreciate it. That reaction helps convince skeptical drivers that the change is worth it.

Retire the Whiteboard

Once the board in the software matches reality for a few days, take down the whiteboard. Keep the marker for something else. From there, use reports to see where dispatch is getting stuck and adjust.

Plan a check-in after the first month. Ask drivers what is working and what is annoying, ask the office what still lives outside the system, and fix those gaps. The goal is not just to replace the whiteboard but to make dispatch genuinely easier.

Next in the series is closing the loop from completed haul to paid invoice. For an overview of the dispatch tools you will be switching to, visit the DumpsterBossPro roll-off dispatch software page.
