Extra Rental Days: How the Pickup Date Drives the Daily Rate on the Invoice
Extra-day charges are some of the most profitable lines on a roll-off invoice and some of the most often forgotten. The can sat three extra weeks, the pickup got done, and the invoice went out at the base price because nobody went back and counted.
The fix is not more counting. It is letting the pickup date do the counting.
The Four Numbers That Matter
Every rental in DumpsterBossPro carries four pieces of information that decide extra-day billing:
- The delivery date: when the can hit the ground.
- The pickup date: when it came off.
- The days included: how long the base price covers, such as 7 or 14 days.
- The daily rate: what each day past the included period costs.
When the pickup is completed, the extra days are worked out from those numbers and added to the invoice automatically. Following up on the overdue rentals covered in Finding Rentals Past Their Included Days Before They Turn Into Free Storage gets the can moving; this is how you make sure the time it sat is paid for.
Choosing Your Included Days
There is no single right number. Short included periods with a reasonable daily rate keep cans turning and make the base price look sharp. Longer included periods suit contractors and bigger projects. Many companies set different included days by size or by customer type.
Whatever you choose, write it down and use it every time. Inconsistent included days are how one customer gets 10 days for the same price another customer paid for 7, and how arguments start.
Set the daily rate with the same care. Too low and customers treat your can as cheap storage, which ties up a container you could rent again. Too high and customers feel trapped, and they will shop elsewhere next time. A daily rate that is clearly less than a new rental but meaningful enough to make people call for a pickup tends to work well. Look at how often your cans run long today and adjust from there.
Why the Pickup Date Has to Be Real
Extra-day billing is only as good as the pickup date. If a driver completes the pickup but the job is closed out two days later from memory, the customer is billed for days they did not have the can. If a pickup is requested but not done for a week because it sat on a notepad, you are billing the customer for your delay.
Both problems go away when the driver starts and completes jobs in the driver app as they happen. The completion lands in real time, and the dates match what happened in the driveway. Pickup photos from the driver app add a second record of the day the can left, which is useful if a customer later says it was gone sooner.
Who Pays When You Are Late
Here is a policy question every roll-off company should answer: if the customer called for a pickup on day 6 and you did not get there until day 9, do they pay for days 8 and 9? Most fair-minded operators say no. The customer finished on time; the delay was yours.
The cleanest way to handle that is to note the date the customer called on the job, and adjust the invoice if your schedule caused extra days. Better yet, keep the Waiting List short enough that it rarely comes up. Customers remember being billed for your delay far longer than they remember the price.
Making Extra Days Easy to Accept
Customers accept charges they were told about. Put the included days and daily rate on the quote they approve online. Mention it when the can is delivered. Mention it again when you check on a rental that has gone long. Then the line on the invoice is just confirmation.
Invoices include sales tax where it applies, and customers can pay online, through the customer app, or by the card on file. Payment follow-ups go out on anything that stays unpaid.
Extra Days on Contractor Accounts
Contractor and commercial accounts often have several cans out at once across multiple job sites. Each rental tracks its own dates and extra days, and the account can be billed monthly on one invoice so the contractor sees all of it in one place instead of a stack of small bills.
