Getting Your Dumpster Business Ready for Busy Construction Season

Every roll-off owner knows the feeling of the season turning. One week you are washing cans and catching up on maintenance; the next, every contractor in town wants a can by Monday and the phone rings during every placement. How you spend the slow weeks before that turn decides whether the busy season makes your year or just wears you out.

This guide follows Training a New Roll-Off Driver: The First Two Weeks in a Dumpster Business. Here is how to get ready.

Get the Equipment Ready Early

Trucks and cans that break in the busy season cost you twice: once for the repair and again for the jobs you cannot run. Use the slow weeks to service the trucks, fix hoists and cables, and repair cans with bent doors, worn floors or broken latches. Repaint unit numbers that have faded so every can is easy to identify on a job.

If last season taught you that a size was always gone, order more of it now so they arrive before the rush. Look back at last year's jobs by size to see where you ran short.

Line Up People Before You Need Them

If you will need another driver for the busy months, start looking well before the season. The good drivers get hired early. Give a new driver time to ride along and train before the first truly busy week, so he is not learning on the hardest days of the year.

Think about the office too. When the phone rings constantly, someone needs to answer it, take the request properly and put it on the Waiting List. If that is you while driving, every call costs you a placement. Even part-time office help in the busy months can make a big difference.

Talk to Your Contractors Before the Rush

Your best contractor customers already know what they have lined up for the season. Ask them. A quick conversation about how many jobs they expect, how often they need swaps and what sizes they want lets you plan cans and trucks instead of reacting.

This is also the time to clean up how you bill them. If a contractor is still paying for every haul separately, set him up with a contractor account billed monthly on one invoice. It is easier for him, and in the busy season it saves your office from processing dozens of small payments.

Make the Waiting List the Only Inbox

In the busy season, the biggest risk is a request that gets lost. A text to the owner's phone, a voicemail nobody heard, a note on the dashboard of the truck. Make one rule before the season starts: every request goes on the Waiting List, and nothing lives anywhere else.

Web request forms and the customer app help a lot because requests land in the system without a phone call. On the map, you can see every open pickup, swap and delivery at once, circle a cluster and assign them to a driver and truck in one step, and let auto-routing order each truck's day.

Protect Your Rates When Everyone Is Busy

In the busy season, cans stay out longer because jobs run long and contractors forget about them. Make sure every rental has days included and a daily rate after, so extra days are invoiced automatically. Make sure every pickup gets its scale-ticket weight entered on the job so overage is billed per ton.

Busy is not the time to discount. If anything, it is the time to make sure every haul and every extra day is billed. The money you leave uncounted in June is money you will want in January.

Busy weeks also hide slow payers. When you are running every daylight hour, nobody has time to chase invoices, and a few slow contractors can quietly carry a lot of your money. Collect a card on file at booking for homeowners, turn on auto-billing for regulars and let payment follow-ups remind anyone overdue. That way cash keeps coming in while you are focused on the trucks, and you do not start the slow months owed a pile of money.

Keep Customers Informed

When everyone is waiting, communication is what keeps customers calm. Automated on-the-way texts tell homeowners when the truck is coming. Two-way texting lets the office tell a contractor his swap moved from 8 a.m. to 10 a.m. before he has to call. The customer app lets customers see the driver on a live map, request a pickup and pay invoices online.

The next guide covers the other end of the year: what to do in the slow months. For an overview of the dispatch and communication tools, see the dumpster rental business software page.
